KiloGym Membership Terms and Conditions

 

Welcome to KiloGym! We’re thrilled to have you as part of our fitness community. Please carefully review the following terms and conditions before joining.

 

1. Membership Agreement

By becoming a member of KiloGym, you agree to abide by the terms and conditions outlined in this agreement. These terms may be subject to change, and any modifications will be communicated to you in advance.

 

2. Membership Types

KiloGym offers various membership options, including but not limited to monthly, quarterly, and annual plans.
The specific details of your membership — including fees, benefits, and duration — will be outlined in your membership brochure or digital contract.

 

3. Payment and Billing

Members are required to register via KiloGym’s direct debit platform for all membership payments.
Monthly bank transfers are not accepted.

  • Payments will be collected automatically on the first of each month.

  • KiloGym reserves the right to update membership fees with prior notice.

  • It is the member’s responsibility to ensure that sufficient funds are available in their account on the payment date.

  • Failed or missed payments may result in temporary suspension of facility access until the outstanding balance is settled.

 

4. Cancellation Policy

To cancel your membership, you must provide 30 days’ notice in writing via email to kilogymedinburgh@gmail.com from the email address registered on your account.

  • Notice is deemed received on the date and time the email reaches our inbox.

  • Your membership remains active during the 30-day notice period, and all fees falling within this period must be paid.

  • All membership fees are non-refundable, and no partial refunds will be issued for any period already billed.

  • Any dues or charges incurred prior to the effective cancellation date must be paid in full.

 

5. Personal Training Cancellation Policy

Our cancellation policy ensures efficient scheduling and optimal use of personal training sessions.

  • Cancellation within 48 hours: A full charge will apply.

  • Cancellation with more than 48 hours’ notice: We’ll make every effort to secure an alternative slot based on availability.

    • If no suitable slot is found, you’ll be placed on a priority list for any cancellations throughout the month.

    • Please note that sessions cannot be carried over to the next month and will be forfeited and billed accordingly.

 

6. Code of Conduct

Members are expected to adhere to KiloGym’s Code of Conduct, promoting a positive, safe, and respectful environment.
Violation of this code may result in membership termination without refund.

 

7. Facility Access

KiloGym members enjoy 24-hour access to all facilities.

  • Members are issued a personal access key which grants entry to the gym.

  • The key must not be used by anyone other than the registered key holder.

  • Lending, sharing, or duplicating your access key is strictly prohibited and may result in immediate membership termination without refund.

  • Lost or stolen keys must be reported immediately. A replacement fee may apply.

  • KiloGym reserves the right to temporarily restrict access for maintenance, cleaning, safety, or special events.

  • Unauthorized entry or allowing non-members access will result in termination of membership without refund and may lead to further action.

 

8. Privacy and Data Protection (GDPR Compliance)

KiloGym is committed to protecting your privacy and complying with the UK General Data Protection Regulation (GDPR) and the Data Protection Act 2018.

  • Personal Data Collection: We collect only the information necessary to manage your membership, including your name, contact details, payment information, and health or fitness data (where voluntarily provided).

  • Data Use: Your data is used solely for legitimate business purposes such as membership management, billing, safety, and communication regarding your membership and KiloGym services.

  • Data Sharing: We do not sell or share your personal information with third parties, except with trusted service providers (e.g. direct debit processors) who operate under strict data protection agreements.

  • Data Storage: All data is stored securely and retained only for as long as necessary to fulfil our legal or contractual obligations.

  • Your Rights: You have the right to access, correct, or delete your personal data, as well as the right to restrict processing or object to its use. To exercise these rights, contact us at kilogymedinburgh@gmail.com.

  • Marketing Communications: We will only contact you with promotional material if you have explicitly consented. You can withdraw consent at any time.

  • Data Breach Procedure: In the unlikely event of a data breach, KiloGym will notify affected individuals and the Information Commissioner’s Office (ICO) as required by law.

 

By becoming a member, you acknowledge and consent to the collection and use of your data in accordance with this policy.

9. Indemnification

By becoming a member of KiloGym, you agree to indemnify and relieve KiloGym of any liability, damages, or expenses incurred as a result of your actions or inactions within the facility.
KiloGym accepts no responsibility for any damage, loss, or theft of personal property while on the premises.
